Sample Submission
Easier than the rest of production
So nice to meet you!
Setting Up An Account
Voila! That is it! You are ready to submit your first samples.
Ready, set, go!
Sample Submission
Step 1: Email Your Order
Send an email to order@imbibe-solutions.com with a list of samples being submitted and the tests requested for each. Make sure to mention if you are shipping the samples (UPS or FedEx) or dropping them off.
Step 2: Prepare Samples
Since you already completed Step 1: Email Your Order, you do not need to include a sample form in the box. But if you would prefer to, here is an optional sample form you can print and use.
Use Your Own Packaging
Bottles, cans, and other official packaging make great containers for submission, but any glass or plastic container will work. Just make sure the container is clean and there is minimal headspace; excess amounts of air will start to alter the product’s characteristics. Samples will not be delivered if leaking, so if you are using something unconventional (like a water bottle), consider putting it in a Ziploc bag just in case.
Make sure every sample has a name or ID that matches the sample list submitted.
Or, Request Sample Tubes
Want something more “official”? We can send you 50 mL sample tubes and shipping labels for FREE! These work well for most analyses, though some tests may require different volumes. (Check your industry’s testing page for specific volume requirements—some tests can share the same 50 mL sample, while others cannot.) Not sure what you need? Just ask! Use the button below to submit your request.
Grape samples
We take grape samples too! Ideal submissions will contain 100 berries sampled from all over the vineyard and from various positions on the clusters. See the video below about how to collect a representative sample or check out our blog post.
Step 3: Ship or Drop off
Samples can be shipped to or dropped off at:
Imbibe Solutions
580 Radford Lane, Suite 101
Charlottesville, VA 22903
Please mark all shipped packages with: “Samples for Analysis Only – Not for Human Consumption” and “Fragile”. We highly recommend using UPS or FedEx because they deliver straight to our lab bench (versus a mailbox). If there is any indication that you are shipping alcohol, you will have to use your winery’s business account or they will return the package to you.
If dropping off, feel free to do so any time Monday through Friday. (Unless it is wine Harvest, then we are here 7 days a week!) There is a cooler out front if we miss you.
Our turn
Results, Timing, and Invoicing
Results and Timing
Sample results will be sent by email within 2 business days (Monday – Friday) of receipt for most chemical tests. Bentonite trials take 3 days. Microbiological testing may take up to a week.
Wine Harvest Season
From ~August 15 to ~October 15 the lab will be open from 9 AM–6 PM, Monday through Saturday and 12 PM – 4 PM on Sundays. (Due to the dynamic nature of agriculture, start and end days may fluctuate each year. Keep an eye on our mailing list for the official start and end dates each year.)
During this time, the turnaround for wine/juice samples will be under 24 hours. Samples received by 4 PM will have results by end of day. Samples received after 4 PM will have results the following morning. Non-wine/juice samples will be processed with a normal, 2-day turnaround time.
Invoicing
We will send an invoice to the email(s) on file to be paid by check, bank transfer, or credit card within 15 days of receipt.
